Pdf Password Placeholder Action Rules
PDF Password Placeholder in Action Rules
Released: July 16, 2025 (announced) / August 5, 2025 (live)
What's New
You can now define custom passwords for PDFs directly in action rules, allowing unique password protection for each generated PDF document.
What Does This Feature Do?
Previously, PDF passwords were set globally. Now you can dynamically assign passwords to PDFs through action rules, giving you complete control over document security on a per-record basis.
Key Capabilities
- Dynamic Password Assignment: Set different passwords for different PDFs based on record data
- Field-Based Passwords: Use field values to generate passwords (e.g., customer ID, order number)
- Rule-Based Security: Apply password logic through action rules
- Per-Record Protection: Each PDF can have its own unique password
Common Use Cases
- Customer Documents: Password-protect invoices with customer-specific passwords
- Confidential Reports: Secure reports with passwords based on user roles or departments
- Contract Management: Protect contracts with client-specific access codes
- Automated Security: Apply password rules automatically when generating PDFs via workflows
Example
Create an action rule that generates a PDF invoice and sets the password to the customer's account number. Each customer receives a PDF protected with their unique identifier.
